This Privacy Policy explains how Coloroom collects, uses, shares, and protects information through coloroomhair.com, our online forms, and the services connected to our website. It also explains the choices and privacy rights that may be available to you.

Information we collect

Information you choose to share

We collect information you provide directly to us, including when you:

  • submit a job application or another website form;
  • contact us by email, phone, social media, or another channel;
  • request information about our salons, services, stylists, or opportunities;
  • book or manage an appointment through our booking provider; or
  • choose to receive email or text communications.

Depending on how you interact with Coloroom, this information may include your name, email address, phone number, social media handle, location preference, appointment information, communication preferences, and the content of your message.

If you apply to work at Coloroom, we may also collect your availability, the position you are interested in, education and work experience, professional Instagram account, resume, and the answers you submit with your application.

Please do not include sensitive personal information in an open-text field or uploaded document unless it is necessary for your request or application.

Information collected when you use our website

When you visit coloroomhair.com, we and our service providers may automatically collect:

  • pages viewed and links selected;
  • approximate location derived from an IP address;
  • referral source and campaign information;
  • browser, device, and operating-system information;
  • dates, times, and duration of visits;
  • general scroll, visibility, video, and interaction activity;
  • cookie and consent preferences; and
  • application-journey events, such as viewing a job, selecting Apply, beginning an application, reaching or completing a form field, encountering a validation error, and submitting an application.

Our recruitment analytics use internal field labels such as “availability” or “education experience” to understand where the application experience can improve. We do not send the answers typed into application fields, names, email addresses, phone numbers, resumes, or other application content to Google Analytics or Meta through these events.

We also use session storage to preserve campaign attribution, the job associated with an application, and whether an application was completed during the current browser session. This storage does not contain the answers typed into the application form.

How we use information

How we share information

We may share information with service providers that help us operate Coloroom and the website, including:

  • Squarespace, which hosts the website, forms, files, and website analytics;
  • Google, for Google Analytics, Google Tag Manager, campaign measurement, and related services;
  • Meta, when Meta Pixel, Instagram content, or Meta advertising tools are active and permitted by your cookie choices;
  • Zenoti, for appointment booking, salon operations, guest records, and related communications;
  • Aveda and its service providers, when you follow a link to shop Aveda products;
  • email, text, file-storage, security, website-support, and professional-service providers; and
  • government authorities, courts, or other parties when disclosure is required by law or reasonably necessary to protect rights, safety, or security.

We may also disclose information as part of a merger, financing, acquisition, sale, restructuring, or transfer involving all or part of Coloroom, subject to applicable law.

Our website links to services operated by other companies, including Zenoti, Aveda, Instagram, Facebook, Google Maps, and other social or booking platforms. Their privacy practices are governed by their own policies.

Sale, sharing, and targeted advertising

Coloroom does not sell personal information for money.

Some privacy laws may define the use of advertising cookies and similar technologies as “selling,” “sharing,” or processing personal information for targeted advertising. When these technologies are active, providers such as Meta may receive identifiers and information about website activity to measure advertising or help deliver relevant ads.

You can review or update the available choices by selecting Cookie Preferences on our website. Where applicable, you may also contact us to opt out of the sale or sharing of personal information or its use for targeted advertising.

Email and text communications

We send promotional emails or text messages only when permitted. You can unsubscribe from marketing emails using the link in the message. You can opt out of marketing text messages by following the instructions in the message, such as replying STOP.

Service messages about appointments, applications, or requests may still be sent when necessary to complete the interaction you requested.

Job applications

Application information is used to evaluate candidates, communicate about opportunities, maintain recruiting records, and meet legal or operational requirements. As stated on our application page, Coloroom may keep applications on file and contact applicants about future opportunities.

We retain application information only as long as reasonably needed for recruiting, recordkeeping, dispute resolution, and legal compliance. You may ask us to delete an application by contacting us, subject to any information we are required or permitted to retain.

Data retention

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing services, reviewing applications, maintaining business and legal records, resolving disputes, enforcing agreements, and meeting legal obligations.

Retention periods vary based on the type of information, how it is used, the settings of the service provider that stores it, and applicable legal requirements. When information is no longer needed, we take reasonable steps to delete, de-identify, or securely dispose of it.

Your privacy rights

Depending on where you live and subject to applicable exceptions, you may have the right to:

  • access personal information we maintain about you;
  • correct inaccurate personal information;
  • request deletion of personal information;

To appeal a decision about a privacy request, email the same address with the subject line Privacy Appeal and explain why you believe the decision should be reconsidered.

Authorized agents may submit requests where permitted by law. We may ask for proof of authorization and may need to verify the identity of the person whose information is involved.

We will not discriminate against you for exercising an applicable privacy right.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No website, transmission, or storage system can be guaranteed completely secure. Please use care when deciding what information to send online.

Children’s privacy

This website is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the website. If you believe a child has submitted personal information, please contact us so we can review and address it.
